At Hoopwith’em, we are committed to delivering high-quality basketball training experiences. To ensure fairness, professionalism, and smooth operations, this policy applies to all bookings for our 1-on-1 sessions, group programs, camps, and events.

By booking with us, you agree to the following cancellation, refund, and participation terms.

1. 1-on-1 Training Sessions

Bookings & Payments

• All sessions must be booked in advance and are only confirmed once payment is received.
• New clients are required to pay a $50 deposit, applied to the final session payment.
• Standard rate: $80 per session (minimum 3 sessions). One-off: $110.

Cancellation Fee Structure

• 0–8 hours before start time → 100% of fee forfeited if session cannot be re-filled.
• 8–24 hours before start time → deposit forfeited if session cannot be re-filled.
• More than 24 hours before start time → No fee charged, session re-scheduled.

If Hoopwith’em can re-fill the cancelled session, we may reduce or waive the fee.

Stopping Ongoing Sessions

• 1 week’s notice required to stop weekly sessions.
• Unused prepaid sessions refunded in line with the terms above.

Cancellations by Hoopwith’em

If we must cancel (e.g., venue issue, coach unavailability), you will be offered:

• 
  A full refund, or
  
• 
  A reschedule at no extra cost.
  Refunds are processed within 5–10 business days.
  

2. Camps & Group Sessions

Bookings & Payments

• Must be prepaid to confirm booking.
• Spaces are limited and confirmed on a first-come, first-served basis.

Cancellations by Clients

• More than 3 days before start date → Full refund or full credit (valid 6 months).
• Within 3 days of start date → No refund; full credit only (valid 6 months).
• No-shows → No refund or credit.

Cancellations by Hoopwith’em

If we cancel due to low registration, weather disruptions, or venue issues, you will be offered:

• A full refund, or
• A credit toward a future session or event.

Refunds are processed within 5–10 business days.

3. Credit Option

Special cases (injury, family emergency) may be eligible for a credit at our discretion.

4. How to Cancel or Reschedule

Cancellations, refund requests, or schedule changes must be submitted via:

Cancellations are only confirmed once you receive a reply from Hoopwith’em.

5. Voluntary Assumption of Risk

I acknowledge that basketball training and competition involve significant risks, including falls, collisions, and equipment failure. I accept full responsibility for any illness, injury, or death arising from participation, including risks related to Covid-19, and confirm I have no medical condition that will endanger myself or others.

6. Waiver, Release & Indemnity

I agree to:

• Waive any and all claims against Hoopwith’em, its directors, staff, and contractors.
• Release Hoopwith’em from liability for negligence, breach of contract, or statutory duty.
• Indemnify Hoopwith’em against any third-party claims arising from my participation.

7. Medical Assistance

If injured or unwell, I will stop and inform a coach. Hoopwith’em may arrange emergency medical services if required, with all costs my responsibility.

8. Media Consent

Unless I advise otherwise in writing, I consent to Hoopwith’em using photographs or videos of me/my child for promotional purposes. My personal details will not be shared with other companies.

9. Policy Updates

Hoopwith’em reserves the right to update or amend this policy at any time. The latest version will always be available on our website.

I have voluntarily chosen to participle in the program and am aware that there are significant risks involved in all aspects of basketball training and competition. These risks include, but are not limited to: falls which can result in serious injury or death, injury or death due to negligence on the part of myself, or other people around me, injury or death due to improper use or failure of equipment. I am aware that any of these above mentioned risks may result in serious injury or death to me.

I am aware of the respiratory illness COVID-19 and acknowledge that by attending any program conducted by Hoopwith’em there is a risk of contracting COVID-19 and I understand this risk and I assume all risks and responsibilities surrounding myself or my child's participation in the program. I willingly assume full responsibility for the risks that I am exposing myself or my child to and accept full responsibility for any illness, injury or death that may result from participation in or attendance at Hoopwith’em programs. I confirm that I have no physical impairments or illnesses that will endanger myself or others.

I agree to WAIVE ANY AND ALL CLAIMS that I have or may have in the future against Hoopwith’em, and its directors, officers, employees, agents, volunteers and independent contractors (all of whom are hereinafter collectively referred to as “HWE”). I agree to RELEASE HWE from any and all liability for any loss, damage, injury or expense that I may suffer, or that my next of kin may suffer as a result of my participation in the Training Sessions or Competition, due to any cause whatsoever including negligence, breach of contract, or breach of any statutory or other duty of care. I agree to HOLD HARMLESS AND INDEMNIFY HWE from any and all liability for any damage to the property of, or personal injury to, any third party, resulting from my participation in the Training Sessions or Competition.

I understand that should I become ill or suffer an injury I am to stop the activity and inform a coach. I give Hoopwith’em and its staff and volunteers permission to seek emergency medical and/or ambulance services for me should I become injured or ill with the understanding that I am responsible for any expenses incurred.

I agree to allow Hoopwith’em, its officers, employees and volunteers to use picture(s), film and/or likenesses of me for use on its website and other promotional and educational materials without compensation to me. By registering on our site, you agree that we may send you emails related to our programs and upcoming events. We will not provide your details to any other company.
